Privacy Policy

Last Updated: January 15, 2025

At Merplex, we respect your privacy and take protecting your personal information seriously. This policy explains how we collect, use, and safeguard the data you share with us when using our investment calendar services. We're based in Ontario and follow Canadian privacy laws, including PIPEDA (Personal Information Protection and Electronic Documents Act). If something here doesn't make sense or you have questions, reach out to us anytime.

Information We Collect

Running an investment calendar platform means we need certain information to provide you with personalized services and keep your account secure. Here's what we typically collect and why.

Account Information

When you create an account with Merplex, we collect basic details like your name, email address, and the password you choose. We also ask for your phone number so we can send you important notifications about market events or account security. If you're using our premium features, we'll need billing information, though we don't store your full credit card details on our servers.

Usage and Activity Data

We track how you interact with our calendar tools. This includes which investment events you save, what sectors interest you most, and how often you check earnings reports or economic indicators. This data helps us recommend relevant events and improve the calendar functionality. We also collect technical information like your IP address, browser type, and device details to troubleshoot issues and maintain security.

Note: We never sell your personal information to third parties. Your data stays with us unless you explicitly request us to share it with integrated financial services you choose to connect.

How We Use Your Information

The data we collect serves specific purposes tied directly to making Merplex work better for you. We're not collecting information just for the sake of it.

  • Providing and personalizing our investment calendar services based on your preferences and investment interests
  • Sending you timely notifications about market events, earnings releases, and economic data you've subscribed to
  • Improving our platform by analyzing usage patterns and identifying features that need refinement
  • Protecting your account from unauthorized access and preventing fraudulent activity
  • Responding to your support requests and helping you troubleshoot technical issues
  • Meeting our legal obligations under Canadian financial and data protection regulations

We process your information based on several legal grounds under Canadian privacy law. Most commonly, we need it to fulfill our contract with you (providing the service you signed up for). Sometimes we have legitimate business interests, like preventing fraud or improving our platform. And of course, we'll always get your consent when required by law.

Data Storage and Protection

Your information lives on secure servers located in Canada. We use industry-standard encryption for data transmission (TLS 1.3) and storage. Our database access is restricted to essential personnel who need it to maintain the platform and assist customers.

Security Measures We Implement

Protection Layer What We Do
Encryption All data transmitted between your device and our servers uses 256-bit encryption
Access Controls Multi-factor authentication required for all staff accessing user data
Regular Audits Quarterly security assessments and vulnerability testing
Monitoring 24/7 automated systems detect and alert us to suspicious activity

Despite our best efforts, no online service is completely immune to security breaches. If something happens that affects your data, we'll notify you within 72 hours and explain what information was involved, what we're doing about it, and what steps you should take.

Sharing Your Information

We keep your data in-house except in specific situations where sharing is necessary to provide our services or comply with legal requirements.

Service Providers

We work with a small number of trusted companies that help us run Merplex. This includes our payment processor (for subscription billing), email service provider (for sending you notifications), and cloud infrastructure provider (for hosting). These partners can only access the minimum data needed to perform their specific function, and they're bound by confidentiality agreements.

Financial Institution Integrations

If you connect your brokerage account or other financial services to Merplex, we'll share necessary data with those institutions to enable the integration. You control these connections and can disconnect them anytime from your account settings.

Legal Requirements

Sometimes Canadian law requires us to disclose information to authorities. This happens rarely, but we'll comply with valid legal requests from law enforcement or regulatory bodies. When legally permitted, we'll notify you if your information is requested.

Your Privacy Rights

Canadian privacy law gives you significant control over your personal information. Here's what you can do and how to exercise these rights.

Access Your Data

Request a copy of all personal information we hold about you. We'll provide this in a readable format within 30 days.

Correct Inaccuracies

Update or fix any incorrect information in your profile. Most details can be edited directly in account settings.

Delete Your Account

Request complete deletion of your account and associated data. We'll remove everything except records we're legally required to keep.

Withdraw Consent

Opt out of marketing communications or withdraw permission for data processing where consent was required.

Data Portability

Download your calendar data, saved events, and preferences in a machine-readable format to use elsewhere.

Object to Processing

Challenge how we're using your information if you believe it doesn't align with this policy or your expectations.

To exercise any of these rights, send us an email at support@merplex.info with your request. We'll verify your identity and respond within the timeframes required by Canadian privacy law.

Cookies and Tracking Technologies

Like most websites, we use cookies and similar technologies to make Merplex function properly and remember your preferences.

Essential Cookies

These are required for basic functionality. They remember your login session, language preference, and security tokens. Without these, the platform simply won't work. You can't opt out of essential cookies while using Merplex.

Analytics Cookies

We use analytics tools to understand how people use our calendar features. This shows us which tools are popular, where users get stuck, and what needs improvement. These cookies collect anonymized data about your interactions with the platform. You can disable analytics cookies in your account settings without affecting core functionality.

Preference Cookies

These remember your customization choices like time zone, default calendar view, and notification settings so you don't have to reconfigure them every visit.

Most browsers let you control cookies through their settings. Keep in mind that blocking all cookies will prevent you from logging into Merplex and using personalized features.

Data Retention

We don't keep your information forever. Here's how long different types of data stick around.

Active Accounts: We retain your profile and activity data as long as your account remains active.

Closed Accounts: After you delete your account, we remove personal information within 90 days. Some anonymized usage statistics might remain for analytical purposes.

Financial Records: Canadian tax law requires us to keep billing and transaction records for seven years.

Support Communications: We keep customer service interactions for three years to maintain service quality and resolve any future disputes.

If you haven't logged into your Merplex account for 24 consecutive months, we'll send you an email asking if you want to keep it active. No response within 60 days means we'll consider your account dormant and begin the deletion process.

Children's Privacy

Merplex is designed for adults interested in investment tracking and financial planning. We don't knowingly collect information from anyone under 18 years old. If you're a parent or guardian and believe your child has provided us with personal information, contact us immediately so we can delete it.

International Data Transfers

While we're based in Ontario and our servers are in Canada, some of our service providers operate internationally. When your data moves outside Canada, we ensure those providers meet equivalent privacy standards through contractual agreements and compliance certifications.

If you're accessing Merplex from outside Canada, your information will be transferred to and processed in Canada according to this privacy policy and Canadian privacy laws.

Changes to This Policy

We update this privacy policy occasionally to reflect new features, legal requirements, or changes in how we handle data. When we make significant changes, we'll notify you by email and display a prominent notice on the platform for at least 30 days.

The "Last Updated" date at the top shows when the current version took effect. Continuing to use Merplex after changes go live means you accept the updated policy. If you disagree with new terms, you can close your account before they take effect.

Third-Party Links

Our investment calendar sometimes links to external websites like company investor relations pages, regulatory filing databases, or financial news sources. We're not responsible for the privacy practices of these third-party sites. When you click away from Merplex, their privacy policies apply instead of ours.
